Role Overview
The Head of Event Planning is responsible for leading the planning layer of BRS projects at a program level.
This role ensures that creative concepts are translated into feasible, well-structured, and budget-aware event plans, and that Project Leads and Project Managers are enabled to plan consistently, realistically, and at scale.
The Head of Event Planning focus is on setting up of projects, project leadership teams and oversight. Working closely with the Heads of Client services, Creative services and Production teams to ensure seamless communication from between planning and execution teams.

Key Responsibilities
Event & Experience Planning
- Work closely with Creative Producer and Client Services teams to ensure concepts are planned realistically, matching clients’ expectations and project scope
- Lead feasibility checks across scope, complexity, timing, and budget
- Oversee the planning from top-line estimates into increasingly detailed budget structures as projects progress
- Prepare a clear, complete planning package for handover to Production
Budget & Feasibility Focus
- Ensure early budget awareness in planning (before production lock)
- Challenge ideas constructively where scope, budget, or complexity are misaligned
- Balance ambition with feasibility - without compromising experience quality
- Partner with the Head of Production on feasibility decisions and risk awareness
Team Leadership & Program Ownership
- Lead and develop an expert team of Project Leads and Project Managers across all of BRS service offerings: events, spatial design, digital storytelling, communications
- Provide leadership at program level, not just individual projects
- Coach Project Leads and PMs in:
- BRS planning approach and processes
- Critical thinking: Feasibility checks, budget understanding, crisis management
- Cross-functional coordination between key teams
- Act as escalation point for planning-related challenges
- Build scalable planning standards, templates, and ensure the BRS ways of working
Cross-Functional Collaboration
- Act as the primary planning counterpart to the Head of Production
- Ensure clean handovers from planning into production
- Align continuously with Client Services and Creative teams
- Contribute to improving planning processes during a phase of company growth and scale
Skills & Experiences:
- 8+ years of experience in event / experience planning for complex brand activations or live formats
- Strong Excel-based budgeting skills, from top-line estimates with limited info to detailed project budget planning
- Proven ability to translate creative concepts into feasible, well-structured event plans
- Team leading experience
- Confident cross-functional collaborator
- Comfortable operating at program level position in a growing organisation with evolving processes
